Summary: The Executive Assistant provides administrative support for executive leadership and the board of directors, including scheduling, meeting coordination, event planning, travel coordination, calendar support and other administrative tasks. Additional duties include assisting executive leadership with the day-to-day management of the office. The ideal candidate is a highly organized specialist in administrative support and a team player who can efficiently work with all levels of employees.

ESSENTIAL FUNCTIONS/DUTIES: 

Administrative Support

  • Coordinate all aspects of business meetings and events. 
  • Provide data entry, calendar coordination, and serve as a master of Microsoft Office Suite.
  • Review and respond to correspondence and draft appropriate responses for the President/CEO and Executive Vice-President/COO

Manage

  • Organize company events, meeting, and conferences. 
  • Create a system for the team to be able to locate and review any files and records. 
  • Coordinate onboarding for new employees. 
  • Supervise front desk receptionists to ensure all calls, emails, and walk-in visitors are welcomed in a courteous and supportive manner during regular business hours. 

Coordination

  • Arrange and book travel and accommodations.
  • Respond to correspondence, complaints, and inquiries.
  • Provide backup support to other administrative staff as needed including answering phones, sorting and distributing mail, and preparing documents.
  • Work with the President to manage the NKY Chamber Board of Directors meetings and events.

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE):

  • Associate or Bachelor’s degree required
  • Prior administrative support experience preferred
  • Excellent oral and written communication skills
  • High level of proficiency in Microsoft Office Suite
  • Ability to multitask while maintaining attention to detail
  • Creative problem solving and practical time management skills
