Job Title:
Assistant to the Vice President and Dean
 
Job Summary:
The Assistant to the Vice President and Dean serves as a member of the Vice President and Dean administrative team and is responsible for directing the functions of the Office of the Vice President Regional Campuses.
 
Duties/Physical Demands:
The Assistant to the Vice President and Dean will promote a positive image of the University by greeting and receiving visitors to the Vice President and Dean, responding to inquiries from various University publics (e.g., students, parents, faculty, staff, legislators, alumni, and public and private officials), providing authoritative information regarding University policies or decisions; facilitate the efficient utilization of the Vice President and Dean time through coordination of the Vice President and Dean calendar of appointments, meetings, social engagements, speaking responsibilities, and University and community functions with individuals and various groups. Prepare weekly itineraries and schedules of speaking responsibilities; coordinate the flow of incoming communications and outgoing communications by receiving, routing, tracking and/or responding to incoming communications and determining the appropriate office, department, or agency for outgoing communications. Prepare correspondence for distribution or approval and signature, checking the documents for completeness. Coordinate various types of communication. Edit, proof, and at times write, draft, and/or assist with writing for the Vice President and Dean; serve as a contact person between the Vice President and other University administrators, various boards, faculty, staff, students, alumni and the various publics served by the Regional Campuses by communicating, responding to requests, and/or interpreting policy, decisions, and documents; coordinate processes such as promotion and tenure, revisions and updates to divisional governance, program review and accreditation, CLAAS Council of Chairs, faculty leave requests, and divisional administrator evaluations; monitor Vice President and Dean budgets.
 
Minimum Qualifications:
Associate Degree; a work history of increasingly responsible administrative experience with a minimum of five years at an administrative support level.
 
Desired Qualifications:
Consideration may be given to candidates with a bachelor’s degree in Business Administration or closely related field; previous experience in assisting and/or supporting executive positions.
