Job Overview
Using established procedures with detailed instructions will engage in the day-to-day administration of specialized activities related to grant administration and reports to management, provide recommendation and advice to management or other groups on process related topics and conduct or carry out work procedures and activities in accordance with local, state, and federal regulations as well as university financial and administrative policies. Major duties will include administrative, fiscal, grant, and general duties.
Essential Functions
- Assist faculty and research sta? with the processing of ?nancial transactions for federal, state, and private grants, contracts, and any other external funding sources.
- Post-award duties include award set up and management for ?nancial and regulatory compliance, meet regularly with Principal Investigators (PIs) for expense reporting and projects, and processing reports and transactions, including subcontract activity for the full lifecycle of sponsored program administration from start to close out.
- Implement policies that re?ect continuous oversight and review of sponsored project funds to ensure that all ?nancial transactions are in full compliance with university policies and funding agency guidelines.
- Advise faculty and research sta? with the ?nancial management of sponsored projects to ful?ll project- related expenditure goals and objectives, subaward issuance.
- Work directly and collaboratively with the various o?ces of the university to ful?ll all expenditure/compliance requirements and to resolve complex issues that arise during the duration of a sponsored award.
- Assist with dissemination of expertise to train future Grant Administrator 1’s and Financial Administrator 1 & 2’s in the department unit to adhere to high standards of compliance with sponsored project requirements and dissemination of knowledge of UC-based ?nancial systems and applications to achieve ?nancial and Human Resource objectives.
- Provide recommended approaches to assigned work to facilitate achievement of desired results and maintain e?ective relationships with peers, vendors, and others in a diverse environment.
- Interpret information, ideas and instructions and communicate clearly and accurately both verbally and in writing including materials intended for distribution.
- Determine causes of unusual occurrences and apply standard principles and practices to determine and implement solutions.
- Evaluate/enhance current practices and e?orts to ensure optimal support of diversity, equity and inclusion e?orts.

Required Education
For Grant Administrator 2:
- Bachelor's Degree
- Six (6) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.
For Sr. Grant Administrator:
- Bachelor's Degree
- Seven (7) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.
Required Experience
For Grant Administrator 2:
- Two (2) years of grant and/or finance-related experience.
- Knowledge of Uniform Guidance.
For Sr. Grant Administrator:
- Three (3) years of grant and/or finance-related experience.
- Knowledge of Uniform Guidance.
