Job Title: Dir of Food & Bev - Purchasing
Salary/Grade: $80,000 - $90,000

Job Summary:
This position performs various functions of purchasing agent, budget manager and operations analyst for the department. This position must possess strong working knowledge of purchasing/procurement policies and procedures, especially those relevant to a State Institution. The position must be knowledgeable of a wide variety of food types as well as foodservice equipment. The position will have proven knowledge in the areas of food product quality standards, budget preparation, and general analysis principles.
The position is a member of the senior management team. They must maintain a close working relationship with other departments and offices on campus such as, University Procurement, Accounts Payable, General Accounting, Physical Facilities, Athletics, University Sustainability Coordinator, and others. The position will at times interact and work with other universities on joint procurement projects. The position will actively represent Miami University in professional organizations such as the National Association of College & University Food Services [NACUFS], North American Association of Food Equipment Manufacturers [NAFEM], and others related to procurement at the university level.
The position works out of the Demske Culinary Support Center and has direct report responsibility of one unclassified staff member, Manager of Procurement and Food Purchasing.

 

Duties/Physical Demands:

  • The Director of Food and Beverage Purchasing oversees the purchasing of all food and food related supplies including disposables, cleaning chemicals, tableware, small equipment and capital equipment. These purchases will be made following guidelines set forth by the State of Ohio, University policy, and ethics in purchasing.
  • Creates Purchase Orders [PO’s] in CBORD for purchases related to food & beverage.
  • The position will prepare, submit and award both line-item-bids as well as term-contracts for both goods and services.
  • Works with the Senior Director of Food and Beverage and Culinary Services to determine desired attributes for all food products.
  • Maintains a strong relationship with our Group Purchasing Organization [GPO] account representative. Continually analyzes the list of products available through the GPO to ensure our products are of the highest quality, while priced as economically as possible.
  • Actively participates in the process of setting annual departmental budget, reviews the budget and expenditures on an ongoing basis, and is prepared for quarterly budget reviews. Has direct responsibility
  • Is familiar with trends in the food industry and stays abreast of volatile market conditions. When necessary, ensures market information is shared proactively with others so that determinations for any required menu changes can be made to minimize negative financial impact.
  • Realizes that food safety is our number one priority. Subscribes to food safety alert websites such as FDA Recalls. When recalls are announced, this position is the key contact in ensuring any affected product is pulled from service, and that all information pertaining to the recall is shared with appropriate persons.
  • Participates in and conducts performance reviews with key suppliers. Typically, these will be conducted quarterly with GPO supplier[s], semiannually with all beverage suppliers, and annually, or as needed with others. Addresses any concerns as needed between scheduled review times.
  • Continuously works to both maintain existing relationships and build new relationships with local farmers, producers and manufacturers.
  • Serves as a support member for various Lean projects across campus. Is actively involved as a member of various Campus Services Lean projects.
  • Oversees and verifies accuracy of on-hand inventory at the Demske Culinary Support Center.

 

Minimum Qualifications:

  • Bachelor’s degree in a related field (Purchasing, Culinary Arts, Dietetics, Management, etc.), and 4+ years of progressive experience in higher education or other food service operations; OR
  • Associate’s degree (or other technical degree) in a related field (Purchasing, Culinary Arts, Dietetics, Management, etc.), and 6+ years of progressive experience in higher education or other food service operations; OR
  • 9+ years of progressive experience in higher education in a food and beverage purchasing experience or other food service operations

  • Proven administrative and management skills including excellent communication, both oral and written, and the ability to communicate with all areas of the University.
