To be successful in this role, you will be an excellent communicator who is proactive and invigorated by learning and problem-solving in a fast-paced office. You will be responsible for providing clerical and customer support to individuals and teams within the organization.
The essential functions of this role are:
- Takes the lead in answering the general phone line, letting guests into the office and managing mail and deliveries
- Takes the lead (with cooperation from all staff) in maintaining a clean and inviting workplace. Maintains office, kitchen/hospitality, event, and campaign supply inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt
- Assist with in-office meetings by greeting and welcoming guests, providing support for meeting room technology and general hospitality
- Supports the Data team by taking the lead in posting gift batches, verifying documentation, researching questions and serving as back-up gift processing support as needed
- Supports the Marketing & Communication team by ordering and restocking ArtsWave collateral, booking ArtsWave Artist at Your Meeting engagements and serving as back up support for Cincy A&E event approvals
- Supports the Development team by filling campaign orders and helping with nametags and mailings
- Works with the COO to help schedule and plan office-wide events and engagement opportunities
- Provides administrative support to staff members as needed, including data entry, event preparation, mailings, etc.
The skills and experience required for this role include:
- Ability to prioritize tasks, meet deadlines, and adapt in a fast-paced, dynamic environment
- Highly proficient in Microsoft Office 365 with mastery of mail merge for personalized mass communication
- Experience updating and maintaining data in a CRM platform; ability to learn new platforms and software applications
- Ability to listen to and appropriately respond to feedback with a commitment to continuous improvement
- High level of integrity, discretion, and a passion for the organization’s mission and vision
- Demonstrated reliability, organizational skills, and attention to detail
- Excellent communicator and collaborator with the ability to confidently engage a variety of internal and external stakeholders
- Ability to work independently and collaboratively
- At least 3 years of experience in customer service, hospitality, or an office environment

This is a full-time, non-exempt position that reports to the COO. This position requires in-office work 5 days a week and is not eligible for hybrid work.
ArtsWave offers competitive compensation and benefits, including medical, dental and vision insurance, 401(k) retirement savings plan with up to 7% employer match, paid time off, and paid parking.
The starting salary range for the position is $50,000 - $60,000 annually, commensurate with experience.
