Work Schedule: 10 Month (August – May)

Weekly Hours:  30 hours

Purpose:
The purpose of this 10-month (Aug-May), 30 hour per week, benefit-eligible position is to provide administrative support services to the Dean for the School of Arts & Sciences, Department Chairpersons, and faculty. This position requires initiative, professionalism, and high levels of integrity and confidentiality. The individual is responsible for handling sensitive material as it relates to the School, faculty, staff, and students. It requires an employee who can make independent decisions when necessary and work without close supervision.

Key Responsibilities:
Administrative Support:

  • Screen and direct calls, visitors, and emails with discretion and courtesy for internal and external customers.
  • Schedule appointments and make travel arrangements for the school dean.
  • Maintain and monitor the office calendar and maintain records of meeting minutes for meetings of the full school and for Department Leadership Council meetings.
  • Coordinate mailings and maintain routine office functions utilizing Microsoft Office, CARS, and other software and technology as necessary.
  • Order and maintain office supplies and storerooms for the departments in the school.
  • Monitor and submit any work orders for communal staff and student spaces in school areas.

Financial and Budget Management:

  • Submit materials and monitor workflows for expense reports, purchase orders, faculty development fund request forms, credit card reconciliations, and similar processes.
  • Maintain budgets for grants received.

Project and Event Coordination:

  • Collaborate with the dean on communication and event planning for receptions, performances, exhibitions, special occasions, and recognitions.
  • Assist with course scheduling and course schedule changes.
  • Maintain, compile, and plan the presentation of data and other materials in support of accreditation requirements.

Team Contribution:

  • Contribute to team effort by welcoming new and different work requirements.
  • Explore new opportunities to enhance the services of the division.
  • Help others accomplish related job results as needed.

Qualifications

Education:

  • High school diploma required.

Experience:

  • Minimum of 2 years of experience in a busy office environment, preferably in higher education or a student-related field.  A demonstrated ability and commitment to diversity, equity, and inclusion.
  • Specialized Training:  Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
