POSITION SUMMARY:
The Event Manager serves as the primary client contact and liaison for approximately one-third of events at the Aronoff Center. This position is responsible for overall event operations, production logistics, event-day needs, requisition of staffing, and vendor coordination. From initial concept to day-of management of staff and vendors, the primary responsibility is to coordinate all information and activities required to successfully execute assigned events, meet client expectations, and sustain facility operations. Represent Cincinnati Arts Association and the Aronoff Center for the Arts as an ambassador for excellence in event, rental, and experience execution.
RESPONSIBILITIES:
General responsibilities include but are not limited to: serve as primary client contact for assigned events, championing client desires through operational systems required to execute their events; assist clients and potential clients with facility information and event knowledge; collect, evaluate, communicate, and coordinate all requirements for events, programs, and performances within the facility; own interdepartmental planning and communication with respective department managers to assure efficient use of resources and assets including communicating advance information in a precise and timely manner; leverage internal communication tools to coordinate schedules and articulate event details. Provide efficient management during events along with related duties after events; assist in coordinating training for staff to ensure excellent guest experience and service delivery; work in conjunction with appropriate personnel to develop and maintain safety and emergency operations planning for the facility; communicate with appropriate personnel regarding facility needs and concerns; participate in regular meetings, company events, and staff engagement activities.
The Event Manager is responsible for working in real time with all event-supporting staff to ensure client needs are being met, guest experience standards are being upheld, and institutional policies are being followed. While executing these responsibilities, the Event Manager must be able to provide coaching, guidance, and support across team members as necessary to ensure performance objectives are being met.
QUALIFICATIONS:
The ideal candidate will possess excellent interpersonal, customer service, and service recovery skills. Excellent verbal, nonverbal, and written communication. Excellent organizational skills and strong attention to detail. Excellent situational awareness and de-escalation skills. Ability to work independently and as part of a team in a fast-paced environment. Ability to collaborate with a broad range of people. Ability to lead emergency response efforts with a calm and collaborative demeanor. Ability to effectively and efficiently manage workflow, set priorities, and adapt to changes. Able to demonstrate proactive approaches to problem solving with strong decision-making. Proficiency with computers including Microsoft Office Suite (Word, Excel, Outlook). Possess professional demeanor and appearance. Prior project or event management experience required. Experience in a performing arts center, multi-venue facility, or equivalent setting is required. Bachelor’s degree or equivalent, and a minimum of four years related experience; or equivalent combination of education, training and experience that provides the required knowledge, skill, and abilities.
The Event Manager works a schedule consisting of nights, weekends, and holidays as necessary to meet the responsibilities of their role. This includes regularly being onsite for load-ins, loadouts, and during events.
Candidates must be able to exert moderate physical effort consisting of walking throughout entire facility; walk and stand for extended periods of time; perform work involving some combination of stooping, kneeling, crouching, and climbing; carry, push, pull, lift, and manipulate items weighing up to 30 pounds repeatedly without assistance; move easily up and down stairs without assistance; hear calls on radio communication system and verbally respond; react quickly and execute emergency response and crowd control plans; work with regular exposure to noise levels standard in performance and concert industry events.
