Job Description Summary
Serves as the Assistant Director of Business Services, responsible for multiple items within the Business Office and additional related areas within the Athletic Department. Reports to the Asst AD of Business Operations & Services. This position specifically supports the mission of the University and the Department of Intercollegiate Athletics by assisting in institutional compliance with NCAA and Conference rules and regulations.


Job Description
DUTIES:
Human Resource duties:

  • Coordinate all ICA position postings, recruitment plans and hiring proposals using the University’s on-line hiring system, to include writing job descriptions and maintaining the departmental search records in compliance with records retention policies.Oversees the student employment process for ICA.
  • Serve as a liaison with the University HR office, OEEO, Budget Office and the President’s Office to resolve issues regarding HR-related issues such as creating new positions, background checks, internal promotions, search waivers, etc.On and off-boarding of employees and departing employees.
  • Oversees the temporary employment process for ICA.
  • Oversees the Work with HR regarding non-renewals, disciplinary actions and terminations. Ensure that proper documentation is submitted, write performance improvement plans and follow up on performance issues.vehicle lease process, facility key organization & IT support.
  • Other personnel items as assigned; one being back-up on job postings.

 

Student-athlete duties:

  • Financial Aid liaison & manages scholarship process.
  • Manages Perform departmental exit interviews with all employees leaving the department and collect departmental equipment. Submit resignations to Human Resources and work with Benefit Services to schedule University exit interviews.Red Card meal program & housing for off-campus student-athletes.
  • Update and implement a plan to provide new employee orientation as new staff is hired.Non-academic term meal/housing planning (summer, winter, pre & post-season).
  • Other assistance for student-athletes as-necessary.
  • Train and oversee all supervisors on the appropriate process to approve volunteer workers.
  • Process monthly payroll documents for ICA, including special payroll itemsOther

 

Business duties:

  • Oversee and manage the evaluation process, in compliance with the University Policies and Procedures on evaluations.Organizes contracts for ICA, including game guarantees and other departmental needs.
  • Work with the University Training and Staff Development office to incorporate staff training for Classified and Unclassified staff in the department.Maintains the Public Records websites.
  • Regularly monitor Coaching Salaries relative to the comparable market using the Division 1A reportsWorks directly with Sport & Facility Services on sports camps, especially the hiring of necessary staff & financial reconciliation after-the-fact.
  • Assist with game day staff prep and payments (Officials, ushers, independent contractors as-needed,  etc.)
  • Manage Pepsi contract and departmental allotment.
  • Monitor the retention rate of employees within the department and provide reports on high turnover areas and ways to address high turnover.NCAA audit assistance as-needed.
  • Budgetary duties as assigned.
  • Oversee the annual increment process cycles (administrative and coaching) and work with Human Resources regarding any related issues.
  • Submit coaching bonus payments and Miami PRIDE Award nominations.
  • Coordinate and oversee student employment for Intercollegiate Athletics.
  • Assist with the planning and coordination of post-season tournaments for programs that need assistance
  • Work with Modern Office Methods to coordinate department copier and print program
  • Act as the liaison to the IT Services contact for all Intercollegiate Athletics’ technology matters
  • Assist the Senior Associate Athletic Director for Finance and Administration and Director of Business Services with any financial matters that need assistance.
  • Represent the Senior Associate Athletic Director for Finance and Administration when needed
  • Oversee and further develop the Intercollegiate Athletic Department’s Culture of Champions goals related to Hiring, Training, and Retaining employees
  • Perform a variety of other related administrative duties in support of the Department of Intercollegiate Athletics as assigned by the Senior Associate AD for Finance and Administration
  • Work with Academic Personnel to coordinate hiring of graduate assistants.
  • Work with Director of Camps to hire staff members into temporary camp positions and review Special Payroll documents.
  • Work with Game Operations staff to hire Ushers and other game operations support staff. 
  • Reconcile labor redistribution documents to charge compensation to appropriate budgets.

 

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree
  • 1 year experience within business operations

 

PREFERRED QUALIFICATIONS:

  • Experience with Workday
  • Experience within college Athletics
  • Knowledge of Docusign application
  • Knowledge of NCAA scholarship process
  • Background in Human Resources

 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Requires excellent analytical and organizational skills
  • Proficiency with Microsoft Office products including Excel and Word
